Working as a developer is a difficult job that requires a good amount of technical skill and know-how. For a freelancer, providing a development service is already hard enough on its own without having to worry about doing your own paperwork. You may be an expert at writing code, but you'll need to write great quotes to get paid fairly. Skynova can help.

With our quotation template, you can create and send personalized quotes to potential clients at a rapid pace. Even better, everything's done over the cloud, so nothing needs to be downloaded by you or your client. After you create a great-looking quote, you can use Skynova's quote software to email a private link to your client that they can accept online in seconds. We'll even let you see when your quote is approved and change it to an invoice instantly.

Many businesses use Microsoft Word or Excel to make their quotes. Some even write them by hand. Creating quotes with Skynova will save you time and effort over those methods. Our website design quotation template is customizable, editable, and appealing. And you can print out your quote or download it as a PDF if you'd like to save your own copy.

How to Create a Website Development Quote

Website development can be complex. You spend enough of your focus staring at a screen all day, coming up with solutions. You don't need the added stress of doing your own administration.

However, paperwork is a necessary evil. Professionals in every field use quotes, estimates, and invoices to get paid for their services. Still, the more time you spend making billing documents, the less time you can spend on web development, bringing in money.

This guide will show you a step-by-step process for creating quotes in almost no time at all with Skynova's price quote template. We'll make it easy to make personalized quotes that your clients will love.

  1. State Associated Names and Addresses

When you start creating a quote, you should add the name of your business and the name of your client. The "Your Name" field can be filled out using your personal name or your business title. Use whichever one you legally do business under. If your client doesn't know who the quote is from, they might discard it, so you should use a name they can easily recognize.

The "Customer Name" field can be filled with a personal name or business name, as well. If you're making a web design quotation for an individual, you might use their personal name. If you're making a quote for front-end, HTML coding for a national retailer's website, you'll use their corporate name.

The "Your Address" and "Customer Address" fields can also be filled out with personal or business addresses. If you want to add contact information, you can place it beneath your address. If you're interacting with your client completely online, you can use an email address instead of a physical address. You can also add your phone number if you feel comfortable doing so.

Go over all of the information a few times. You don't want to mess up your client's information and risk offending them, and you don't want to mess up your information and risk your payment going to the wrong place.

  2. Feature Your Website Development Business Logo

A great logo can make your company look professional. If you don't have one already, you should look into creating one. It can really help your clients remember your business. If you have a logo, you can take advantage of Skynova's quote template page by using the option to upload it directly to your quote.

Go to "Show Customization Option." Click the "Logo" box. You'll see a box that says "Your Logo Here" in blue on the right of the quote. Use "Browse" to look through your files and upload your logo.

Make sure your image isn't low-quality, or it can take away from the legitimacy of your company. A high-quality logo can really improve your business's appeal.

  3. Choose a Unique Number for Each Quote

You should always have your quotes organized. You might need them later on for legal purposes or just to see things, like if you charged a client in the past. To keep track of your quotes, you should be sure that each has its own unique number.

Any number can be your quote number, but it makes sense to create a numbering system that you can easily remember. You don't have to start with "1" if you're afraid of coming off as inexperienced. If you start with a number like "201," making the next number "202" will help you stay organized.

A lot of clients will send purchase orders (P.O.s) in response to quotes. A P.O. is an agreement that says a buyer will pay you a certain amount of money for a service you will provide. Skynova allows you to add a P.O. number directly to your quote.

Click on "Show Customization Options" at the top of the quote template page. Check the box next to "P.O. #." A text box will pop up below "Quote #" for the "P.O. #."

When you get a P.O., the next step is to send back an invoice. The invoice is an agreement that says you will provide a service for a certain amount of money. Skynova customers can immediately change quotes into invoices with the click of a button, saving massive amounts of time over creating invoices from scratch.

  4. Give Your Quote the Right Date

Every quote you make should have a date. Keeping your quotes dated can help remind you of things, like how long it's been since someone has responded to you. The date can be the day a quote is created or the day it's sent out, but with the ease of Skynova's template, it's easy to make and send quotes on the same day.

If you realize that it's been a while since your client has replied to a quote, you can decide how to move forward. You might decide to contact them one more time, or you can choose to move on with other clients. This protects you from filling spots on your calendar with jobs that may not happen.

  5. Include the Cost of Website Development Resources

Web developers don't use much physical equipment other than their computers, and you wouldn't charge extra for that. However, there are other things that you might charge for when doing projects. To complete a task, you might have to use a platform like Amazon Web Services (AWS). AWS lets you program in the cloud and only pay for the amount of storage that you use monthly. If you use more storage than you initially planned, you might have to charge your client for it. Include all extra resources in your quote.

You should always run any changes in cost by your client. You don't want them to be upset that they have to pay more than you agreed on or, worse, refuse to pay the extra charges, leaving you to absorb the cost.

Businesses' web development needs are constantly changing. Many business leaders are also painfully unaware of what different types of programmers do. If you're the leader of a team tasked with updating the overall layout of a website using cascading style sheets (CSS), and your client asks you to do something that requires different skills, like updating the website's back-end functionality, you might have to enlist the help of another independent developer who can use a coding language like Java. Be sure to explain this to your client.

Click the down arrow under "Item" and choose "Product." Beneath "Description," write the name of the resource you need to charge for in a language your client will understand. This is particularly important for developers. Instead of a term for software like "Puppet Information Systems Automation Software," you might use something like "Puppet for Testing Software." If you're creating a new website for a client, you may also have to charge them for things like domain names and website hosting.

Use Skynova's quote software to choose your unit prices (how much an item costs) and quantities (the total number of a type of item). When you're done, we'll total everything for you.

  6. Choose How You'll Charge for Development Labor

When it comes to charging for your labor, you can go a few different ways. If you choose to charge by the hour, you'll get more accurate pay for the time you put in, but keeping track of the clock can be distracting when you're trying to get things done. On the other hand, if you charge a fixed rate, you won't have to worry about tracking hours, but you can miss out on pay if you get stuck on a task. A rough estimate of the charge for your labor should be included in your quote.

Click the drop-down list under "Items" and choose "Hours." Your "Description" should be easy to understand. Write something like "WordPress Development." For "Unit Price," list the price per hour for your labor, and for "Quantity," type the number of hours. The total will be added automatically.

If you have a fixed rate, choose "Service" in the "Item" drop-down menu. Type in the price of your service under "Description." The "Unit Price" is the total cost of the service, and the "Quantity" should be "1." In some circumstances, the quantity might be more. For example, if you have to do website design for four different landing pages, your quantity would be "4."

  7. Charm Your Clients With Discounts

The demand for developers is extremely high in today's economy, but you can still use discounts to encourage repeat clients, saving you time searching for new gigs. New client discounts, loyalty discounts, and referral discounts can all be appealing to potential clients.

To add a discount using our website design quotation template, select "Discount" from the "Item" drop-down list, and describe the discount as something your client will understand, like "Google Ad Discount." In "Unit Price," enter the amount of the discount. It will appear as a negative number (such as "-200.00"). All discounts will be automatically subtracted from the total cost.

  8. Use the Notes Section for Extra Context

If you think there might be a few things a client won't understand about your quote, you can use our web design quote template's "Notes" section to add context. As a developer, you can use this feature liberally if you're working with a client who doesn't understand the ins and outs of programming.

For example, you might feel you need to describe a charge for "Creation of application programming interfaces (APIs)." In your note, you can explain that this was necessary to improve the functionality of the website.

You can also explain the need for any non-developer roles your team had to outsource. You might have to find someone to do search engine optimization (SEO) for a website or edit Adobe Photoshop documents (PSDs) to make a site more visually appealing.

A different way to use the feature is to charm your client. Write a note letting the client know how much you appreciate their time or that you look forward to working with them. A thoughtful gesture can be endearing and encourage business.

Tips and Best Practices for Website Development Quotes

Skynova's website development price quote template can be a great resource to help you get paid faster. Here are a few other tips that can help developers maximize their profits.

  • Communicate With Clients

It can be tricky for a developer to really guess how long a particular project will take beforehand. Let your client know this before you start work, and try to get them to really explain the scope of their project in detail. A design quote for a single page lead generation site will be much less expensive than one for an entire e-commerce website. Being on the same page with your client will lessen the chance of any payment disputes.

  • Know Your Worth

Different types of web developers command different salaries. A web designer who only does front-end development won't make as much as a full stack developer capable of front- and back-end development. Do some research before you set your prices. Charging less than the market for your services can make you appear amateurish and even detract some clients from hiring you.

  • Set Clear Timelines for Getting Paid

Many freelancers get paid on a Net 30 schedule, which means that a client has 30 days after the delivery of service to pay them. As a developer, you'll often be working for companies with their own internal workforce. If you're not clear about when you expect payment, they may forget or even intentionally put off compensating you.

  • Have Knowledge of Your State's Tax Laws

It's important to know your state's tax laws for website developers if you want to maximize your profits. You may be able to deduct things like computers, software packages, continuing education courses, and a variety of other necessities for your job. Do your research so that you can save as much money as possible.
